  • Overview

    Position Purpose

    To create an exceptional experience for those members participating in business, personal, social impact, and other types of fast track events that may exist. To work with member champions and YPO management team to partner in the development, design, market, management and evaluation of programs to provide quality experiences and promote best practices within the organization.


    Primary Responsibilities

    • Assist management team with event logistics and implementation including:
    development of the event proposal, budget submission and approval; event logistics; event contract negotiation and execution; CART and Aon risk assessment process, and managing onsite support, if required;
    • In collaboration with the member champion and management team, produce high impact, cost efficient events such as MIMS, GCCs, Needs and Leads Talk Series, Peer Learning and other small events in line with the member champions goals
    and vision;
    • Collaborate with management team member champions to, define a marketing plan and assist in providing content to support marketing effort to assure programs are targeted to the desired and appropriate audiences’;
    • Work towards accomplishment of annual cross-functional departmental goals;
    • Attend, as required, training updates, retreats and other YPO
    organizational functions;
    • Work with and train champions and project professionals as requested by management teams;
    • Ensure professional quality standards and collaborate as appropriate to implement best practices and processes for all programs;
    • Accountable for the identification, documented relationship and training of outside professional resources to manage representative events and assignments, as needed in coordination with the departments;
    • Oversee programs onsite, as required, in collaboration with individual network and project directors, member chairs (and occasionally committees), to ensure achievement of program objectives;
    • Collaborate with departments and the regional management team(s) to support member champions;
    • Coordinate with the management team and the member champion to ensure the level of the content and resources secured are in line with the goals and objectives of the event and meet YPO standards for assigned programs;
    • Support Corporate Services in all aspects of team planning, marketing, reporting, execution and closeout of events;
    • Regular and timely attendance.


    • Event planning management and execution skills required with a focus on simple to more complex international events
    • Ability to interact with executives in professional cooperative program planning
    • Knowledge of hotel and venue contracting, including audio visual, offsite elements and resource management
    • Demonstrated ability to develop and manage event program budgets
    • Initiative in conceptualizing and launching programs
    • Understanding of member and committee dynamics
    • Established knowledge of developing programs, including evaluation systems
    • Strong utilization of Microsoft Suite of tools especially Word, PowerPoint and Excel to demonstrate idea transfer and analytical skills
    • Strong written and oral presentation skills
    • Ability to be proactive in achieving desired outcomes
    • Excellent organizational skills and commitment to detail, ability to manage multiple tasks and projects simultaneously
    • Strong interpersonal and diplomacy skills
    • Ability to work independently, to be self-motivated
    • Ability to work within an environment of frequently changing priorities and as an integral part of a team in a matrix environment
    • Meet critical deadlines and set priorities in a timely fashion
    • Comfortable working collaboratively in a multi-cultural organization with international members; sensitivity and awareness of cultural differences
    • Ability to work flexible and/or extended hours as needed
    • Flexibility to travel both domestic and internationally, as needed
    • Preferred knowledge of hotel and venue contracting, audio visual and production elements, talent, staging and décor elements, offsite and travel industry programs and working with professional educators and resources

    • CMP and/or CAE preferred
    • Two to five years’ experience in event management and program coordination in a professional association or entrepreneurial environment
    • College degree or equivalent experience
    • Experience with Zoom a plus.
    • Proficient in Microsoft Office Skills and database management
